Who we are

On the Bean Coffee is a coffee trailer in New Inn, Co. Tipperary. We decide how your information is used when you order from us online. If you have a question about your information, email us at onthebeancoffee1@gmail.com.

What we collect

• When you order: your name, what you order and when you plan to collect it. We don't ask for your email address.
• Your email address, only if you choose to give it: to join our referrals after you order, or to claim a friend's referral discount at checkout.
• Your card details go into SumUp's payment form. They go to SumUp, never to us. You can also pay with Apple Pay or Google Pay, processed by SumUp in the same way.

Why we use it

We use your name, your order and your collection time to make your order and hand it to you. We need them to carry out the order you asked for. In data protection law, that is performing a contract with you.

If you give us your email for referrals, we use it to send your referral link and your rewards, and to check that a friend's discount is for a first order. You choose to give it, so in data protection law that is your consent. You can ask us to delete it at any time.

Who we share it with

• SumUp, who take card payments. When you pay, the card form is run by SumUp. It may set a security cookie (from SumUp's security provider, Cloudflare) and collect technical data about the payment form under SumUp's own privacy notice.
• Apple or Google, if you pay with Apple Pay or Google Pay. They handle the wallet step under their own terms and privacy notices.
• Supabase, who run our database. It is hosted in the EU, in Ireland.
• Brevo, who send our referral emails. They get your email address and the email's content.
• Vercel, who host this website.

We don't sell your information or share it for marketing.

How long we keep it

• Paid orders: 6 years, because tax law requires it. Then we delete them.
• Unpaid orders that were never completed: we delete them after 90 days.
• Orders placed before 18 October 2026 also asked for an email address. We keep it with that order and delete it with the order. Ask us and we will delete it sooner.
• Your email for referrals: until you ask us to delete it. If you gave it to claim a friend's discount and the order was never paid, we delete it with that order after 90 days.
• To stop abuse, we keep a scrambled version of your IP address (not the address itself) for about 10 minutes, and Vercel keeps its standard hosting logs.

Your rights

Under data protection law (GDPR) you can ask us to:

• show you the information we hold about you
• correct it
• delete it, apart from paid order records we have to keep for tax
• limit how we use it, or object to how we use it
• give you a copy to take somewhere else

Email onthebeancoffee1@gmail.com and we will reply within one month. You can also complain to the Data Protection Commission at dataprotection.ie.

Cookies and storage

We only use what is needed to run the site. There is no tracking and no analytics.

• Your basket is saved in your browser's local storage, so it is still there if you leave and come back. It stays on your device.
• If you open a friend's referral link, a cookie remembers their code for 30 days so we can offer you their discount. It is cleared once the discount is used.
• If you work at the trailer and sign in to the order board, a cookie keeps you signed in.
• When you pay, SumUp's card form may set its own security cookie, as described above.
